ERP and e-invoicing integration for SMEs: where to start

When accounting, stock, sales and purchasing live in separate spreadsheets, errors grow and decisions slow down. ERP and e-invoicing integration turn that sprawl into one flow.

In a growing business, sales, stock, purchasing and accounting often run in different programs and spreadsheets. The same data is entered several times, the numbers never quite match and management gets the right figures too late. ERP (enterprise resource planning) systems bring these processes together in one database.

When do you need ERP?

  • The same data is typed in manually in more than one place,
  • Stock and accounting records regularly disagree,
  • Month-end closing takes days,
  • The number of branches, warehouses or companies is growing,
  • Managers wait for someone to send a file before they can see current figures.

If this sounds familiar, it is time to consider ERP.

Why e-invoicing integration matters

More and more countries require electronic invoicing. In Türkiye, e-Fatura and e-Arşiv have become mandatory for a growing number of businesses based on criteria set by the Revenue Administration, and the EU is moving in the same direction. Creating invoices directly from the ERP as e-documents greatly reduces manual entry, incorrect invoices and returns. Check with your accountant which e-document rules currently apply to you.

A step-by-step migration plan

  1. Needs analysis: Map current processes and pain points. Decide which modules you need (finance, inventory, sales, purchasing, production, HR).
  2. Choosing a solution: Pick a product that fits your size, industry and growth plans. Compare licence, implementation and annual maintenance costs together.
  3. Data preparation: Clean up customer and supplier accounts, item master data and opening balances. Moving bad data into a new system is the most common mistake.
  4. Integrations: Connect e-invoicing, banks, your online shop and POS systems.
  5. Testing and parallel run: Run old and new systems side by side for a short period and compare results.
  6. Training and go-live: Train users by role and plan go-live at the start of a period.

Common mistakes

  • Copying today's messy processes into the new system without improving them.
  • Leaving users out of the selection process.
  • Limiting training to a single presentation.
  • Not budgeting for support and improvements after go-live.

Think together with Microsoft business apps

ERP creates the most value alongside the other tools you use. Integration with Microsoft 365, Teams and reporting tools lets teams work from the same data and lets management see reports from anywhere.
