How to budget a software project and compare quotes properly

Quotes for the same project can differ fivefold. Understanding why protects both your budget and the success of your project.

When you request quotes for a web application, customer portal or mobile app, very different numbers are normal. Most of the time the gap does not come from pricing but from different interpretations of scope. To compare fairly, you first need a clear scope.

What drives the budget

  • Scope: Number of screens and features, user roles, reports.
  • Integrations: Connections to ERP, payments, shipping or e-invoicing are often the most demanding part.
  • Design: A template, or a custom user experience built around your brand?
  • Platforms: Web only, or iOS and Android too?
  • Security and performance requirements: Personal data, high traffic, payments.
  • Multilingual content and an admin panel.

Start small: the MVP approach

Trying to fit every idea into the first release inflates the budget, stretches the timeline and raises risk. Start with a minimum viable product (MVP) that solves the most valuable workflow, then decide next steps with real user feedback.

Questions to ask when comparing quotes

  1. Which features are excluded?
  2. Are design, testing, go-live and documentation included?
  3. Who owns the source code and intellectual property?
  4. Which technologies are used, and could another team take over?
  5. How long is the warranty, and what does maintenance cost afterwards?
  6. Who pays for hosting, domains and third-party services?
  7. How is the project managed, and how often will you see working releases?

Hidden costs

The life-cycle cost of software is more than development. Hosting, security updates, compatibility with new operating system and browser versions, small enhancements and support all need an annual budget. Plan to reserve a share of the development cost each year for maintenance and improvement.

Fixed price or time and materials?

Fixed price suits small projects with a clear scope. For long-running projects where scope will be discovered, sprint-based or time-and-materials models are more flexible and transparent. For many projects the healthiest path is a short discovery phase followed by a quote with a clear scope.

ujans clarifies scope through discovery and plans software projects with MVP-focused quotes and transparent cost items.
