Moving business email and files to Microsoft 365: a step-by-step plan

Scattered email accounts and files on a local server weaken both productivity and security. A planned Microsoft 365 migration solves both without disruption.

Many businesses still work with email accounts at different providers, a server in the office or files kept on personal computers. This makes collaboration harder and increases the risk of data loss and security incidents. Microsoft 365 brings business email, file sharing, meetings and office apps together on one cloud platform.

Why Microsoft 365?

  • Professional email on your own domain (Exchange Online).
  • Files in OneDrive and SharePoint, available anywhere with version history.
  • Chat, meetings and teamwork in Teams.
  • Current versions of Word, Excel and PowerPoint.
  • Security features such as multi-factor authentication and central device management.

Step-by-step migration plan

  1. Take inventory: List users, shared mailboxes, email forwarding rules and file folders.
  2. Pick the right licences: Not every user needs desktop apps, advanced security or more than email. Mixing licences by role lowers cost.
  3. Verify your domain: Add verification and mail records (MX, SPF, DKIM, DMARC) to DNS. These records are critical to keep your email out of spam folders.
  4. Migrate email: Move messages, calendars and contacts from old mailboxes. Do the cutover outside working hours to minimise disruption.
  5. Migrate files: Move shared folders to SharePoint and personal files to OneDrive, and design permissions from the start.
  6. Turn on security: Enforce multi-factor authentication for every user and separate admin accounts.
  7. Train users: Run short, practical sessions on Teams, sharing and safe use.

Common problems

  • Email landing in spam because DNS records are missing.
  • Messages left behind in the old system and forgotten forwarding rules.
  • Sharing permissions left uncontrolled.
  • Overlooking the need for backups.

After the migration

The cloud is not maintenance-free. Adding and removing users, optimising licences, following security alerts and running regular checks keep the value of the migration.

ujans handles Microsoft 365 licensing, domain and DNS setup, email and file migration, security configuration and user training end to end.
